Discussion: Currently available means of dissemination of information

Board Member Frase accepted an action item to bring the website up-to-date, and give it at least a bit more professional appearance, within the next two weeks. This initial look, feel, and functionality will most likely be modified significantly in the upcoming months.

Board Member Navratil accepted an action item to compile, for the September board meeting, a proposed communication plan for agendas/minutes, announcements, helpful community information/videos, bylaws, means for sharing & storing confidential files, means for hosting board chats and/or community chats about different topics (i.e., matters that have already been voted on and are not likely to be voted on in the foreseeable future), SMS, USPS, use of the SCRO gmail account, newsletter, social media such as FaceBook, etc., keeping in mind the need for consistent branding, and taking into account our desire to voluntarily comply with the Colorado open meetings laws and for all communication to be reasonably trackable and discoverable.

September 4, 2025 board meeting agenda:

Background: SCRO does not currently have an effective way of communicating information and engaging in transparent and civil discussions. Communication via private emails limits transparency and discoverability. Thus, the board needs to explore and implement effective communication mechanisms to solve these problems. During the regular board meeting on 8/7, Board Member Navratil accepted an action item to present a proposed communication plan at the September board meeting.
Presentation by Board Member Navratil: Preliminary release of a report on potential options for improvement to SCRO communications, both internal administrative, and to the general public (see attachment “Communications & Branding”).
Discussion led by Board Member Navratil: Provide feedback on the options presented and determine next steps.

Discussion: Board Member Frase proposed that the remaining four major agenda items [including this one] be discussed in the 9/18 work session rather than this board meeting due to the time limitation.
Vote: Board Member Squire moved to forward the remaining four major agenda items to the 9/18 work session; Board Member Powell seconded the motion. A voice vote resulted as follows: The yeas prevailed; motion passed.

September 18, 2025 work session post-meeting notes:

Presentation: Board Member Navratil gave a presentation on SCRO’s communication strategy. His points included:

He stressed the importance of SCRO developing an overall strategic plan (what we are offering to the community in exchange for their dues).

A lot of work has already been done recently on SCRO’s website and there is still more work to be done, such as advertising options for local businesses.

SCRO would definitely benefit from a website-based member forum where there could be interaction between the membership and the board, and among the members.

This is the highest priority in our communications strategy.

This would allow people to post information to the community, and to ask questions that can be answered by other community members.

Our website host (wix.com) appears to have some options for implementing such a forum.

Before we implement a member forum, we will need to figure out how to manage the forum as there is significant time commitment to manage and moderate the various threads, and it involves a system for establishing and managing individual member log-ins.

This feature would be worthwhile only if we have a higher quantity of SCRO members (i.e., 50+ members).

This feature is scalable, so we could implement in phases.

This feature should be easy to use and organized by topic.

SCRO members would be allowed to post to the forum but the general public will be allowed to read the posts (good for transparency).

Adds value to what SCRO provides to its membership.

SCRO would benefit from a website-based blog.

Blog posts would be written by the members of the board.

Would allow the board to highlight the reports they are submitting.

Members could engage with the specific board member concerning a specific topic through a blog post’s comment section.

May allow us to customize the visitor’s interaction with the website.

The website makes up the bulk of what we offer to members and the community.

In his report (in the agenda packet), Board Member Navratil provided a list of websites from nonprofit organizations from which we could gather ideas (i.e., www.slvirc.org).

We may need to hire professional contractors to implement and maintain this technology.

We could ask community members to be moderators in the member forum.

We should prioritize using open source technology.

Board Member Frase accepted an action item to address the “wonky” formatting of SCRO’s website for mobile users (for example, the pictures of the board members are not aligned with the related biographies).
